Illustration of Easy Accounting: From quotation to invoice, with VAT handling, customer/supplier records and reports.

Overview

Easy Accounting is web-based accounting software that helps small businesses run their billing and books. It covers the whole document chain (quotation, proforma invoice, invoice) along with customer and supplier management, VAT/tax handling and reports. It is built with PHP Laravel.

The challenge

Small businesses need to quote, invoice and handle VAT correctly without paying for, or learning, heavyweight accounting suites. In a VAT market like the UAE, tax on every document has to be right, and the owner needs simple reports.

The solution

I built a Laravel application around the real sales workflow. A quotation converts into a proforma invoice and then an invoice, with customer and supplier records, VAT/tax applied on documents, and reports that summarise the business.

Key features

  • Quotations

Create and send quotations to customers.

  • Proforma invoices

Issue proformas ahead of final billing.

  • Invoices

Final invoices generated from the same customer and line-item data.

  • Customer and supplier management

Central records for both sides of the business.

  • VAT/tax handling

Tax applied on documents and reflected in reports.

  • Reports

Business reports for the owner and accountant.

How it fits together

Tech stack and why

PHP Laravel
Laravel's ORM, validation, authentication and PDF/reporting ecosystem fit a data-integrity-heavy accounting app, and it hosts affordably for small-business clients.

Architecture

  1. Document chain: quotation, then proforma, then invoice, with data carried forward so nothing is re-typed.
  2. Tax logic kept in one place so VAT stays consistent across documents and reports.
  3. Customer and supplier records shared across sales and purchase documents.

Process

  1. Mapped the small-business sales cycle and VAT requirements.

  2. Designed simple document screens for non-accountants.

  3. Built the Laravel application and reports.

  4. Deployed a public demo instance.

Outcomes

  • Small businesses go from quotation to invoice in one tool.
  • VAT is applied consistently because it is calculated by the system, not by hand.
  • Owners get reports without exporting to spreadsheets.
